How to Time Block Effectively

Time blocking turns your calendar from a list of appointments into a design for how you spend your attention. The idea is simple: instead of reacting to whatever comes next, you decide in advance what deserves your hours.

1. Protect deep work first

Block your most cognitively demanding work during your peak energy hours. For most people that is the morning. Treat these blocks as immovable. If you schedule meetings over deep work, the deep work never happens.

2. Batch similar tasks together

Context switching is expensive. Group email, Slack, and admin tasks into dedicated blocks instead of sprinkling them throughout the day. Two 30-minute email blocks beat checking your inbox every 10 minutes.

3. Build in buffers

No schedule survives contact with reality. Leave 15-minute gaps between blocks for transitions, bio breaks, and the unexpected. A rigid schedule that breaks by Tuesday is worse than a flexible one you follow all week.

4. Review and adjust weekly

Your ideal schedule will change. Spend 10 minutes on Friday reviewing what worked and what did not. Move blocks that consistently get overridden. The template is a starting point, not a prison.

What is time blocking?

Time blocking is a productivity method where you divide your day into blocks of time, each dedicated to a specific task or type of work. Instead of a to-do list, your calendar becomes your task manager. Research from Cal Newport and others suggests it can increase productive output by 30-50% compared to reactive scheduling.

How do I import the .ics file into my calendar?

The exported .ics file works with Google Calendar, Apple Calendar, Outlook, and any calendar app that supports the iCalendar standard. In Google Calendar, click the + next to "Other calendars" and select "Import." In Apple Calendar, double-click the file or use File > Import. The events are set as weekly recurring, so they will repeat automatically.

Can I customize the templates?

Yes. After selecting a role template, click any block in the weekly grid to edit its category, time, or label. You can also delete blocks and add new ones by clicking on empty time slots. Changes are saved automatically in your browser.

Is my schedule data stored anywhere?

Only in your browser's localStorage. Nothing is sent to a server. Your template persists between visits so you can keep refining it, but it never leaves your device.

Which template should I choose?

Pick the role closest to yours. Engineer and Designer templates prioritize long deep work blocks. Product Manager and Marketer templates balance meetings with focused work. The Founder template includes early exercise and customer calls. If none fit, choose Custom to build from scratch.
